Redesigned invoices for easier payments and accounting

Short description: Although most payments are made by card, Loopia still sends hundreds of thousands of invoices by mail each year.

To simplify the invoice payment process as well as the accounting process for Loopia customers, and also reduce the workload for the customer support team we wanted to improve the invoices.

The result became a better looking and more easy to understand invoice.

Phase 1: Research

The research phase consisted of learning about the current state, finding inspiration and looking into potential restrictions and requirements. To do that I did the following:

  • Conducted interviews with…
    • …Loopia’s customer support team to hear what type of invoice questions are most common.
    • …Loopia’s financial department to hear their view on good invoices both from a payment perspective and an accounting perspective. And also ask them to show examples of invoices they think are easy to read and understand.
  • Investigated…
    • …potential technical restrictions together with the development team.
    • …restrictions from the company that prints, envelopes and sends the paper invoices.
    • …specifications from the bank payment systems regarding QR codes and payment slips (Sweden and Norway).

Phase 2: Mockups and final design

Based on the input and research in the first phase, I created a new design proposal that I iterated through a few feedback rounds, both internally as well as externally with customers and resellers.

Some of the improvements made on the invoices:

  • All terms and information needed for payment gathered clearly at the top.
  • All information needed for accounting gathered clearly at the top.
  • Added a QR code for easy payment via Swedish banking apps.
  • Added a traditional payment slip also for easy payment via Swedish and Norwegian banking apps.
  • Clearer contact information and information on where to find answers to common invoice questions.
  • Simplified information on where to log in to make changes to the invoiced services and products.
  • Clear information added if the invoice is subject for upcoming automatic payment.
  • A new design that is true to the current style guides.

Phase 3: Adjustments for all Loopia Group markets

This project was originally for Loopia AB (Sweden, Norway, Serbia), but will be implemented for the entire Loopia Group. Loopia Group includes several brands and companies around Europe. Local invoice adjustments are needed for each market due to different payment processes and regulations.
